Maddie and Dylan’s London destination wedding at The HAC Bow was intimate, elegant and full of personal details.
They travelled from Canada to marry in a city that already meant so much to them.
Dylan had studied and lived in London for several years. Maddie had fallen in love with the atmosphere, architecture and character of its wedding venues.
They wanted their international guests to experience a wedding that felt unmistakably London.
The ceremony took place inside a historic East London venue. Later, everyone travelled across the city by Underground for dinner.
Every part of the day reflected the place they had chosen so thoughtfully.



An intimate wedding ceremony at The HAC Bow
Maddie and Dylan chose The Heritage and Arts Centre Bow, also known as The HAC Bow, for their wedding ceremony.
The Grade II listed Holy Trinity Church gave Maddie and Dylan the history and scale they wanted. It still felt intimate for their small guest list.
Black chairs framed the ceremony space. White and green florals softened the room.
Large floral urns stood on plinths at the front. Smaller arrangements lined the aisle and entrance.
The dark chairs, pale flowers and historic interior created a clean, elegant look. The styling complemented the building rather than competing with it.
Creating an atmosphere through all five senses
Maddie knew that a wedding’s atmosphere depends on far more than how the room looks.
We placed scented candles and sprayed coordinating room fragrance near the entrance, so guests experienced the mood of the celebration from the moment they arrived.
We set up a memory table with photographs of family members who had passed away, allowing them to remain part of the wedding in a thoughtful and personal way.
Bespoke matchbooks and napkins featuring Maddie and Dylan’s dog, Jager, added another meaningful detail. Although he could not travel with them from Canada, they still found a way to include him in the celebration.
A ceremony led by someone they loved
The ceremony became one of the most meaningful parts of Maddie and Dylan’s wedding.
They asked their friend Dayton to lead it, rather than choosing a celebrant they did not know, and worked with him to create a personal ceremony script that reflected their relationship.
Maddie walked down the aisle with her father while live musicians played an instrumental version of “Amsterdam” by Gregory Alan Isakov.
The couple shared personal vows, exchanged rings and invited Dylan’s younger sister to read a poem. Close friends had included the same poem in their own wedding, which made the moment feel even more thoughtful.
By involving the people they loved, Maddie and Dylan gave the ceremony a warmth and intimacy that styling alone could never have created.



Confetti, drinks and live music
After the ceremony, Maddie and Dylan slipped away for a few quiet moments together while our team guided guests outside and organised the confetti photograph.
The newlyweds then returned for the confetti moment before everyone headed back inside for the drinks reception.
Guests enjoyed Prosecco, beer and non-alcoholic options while live musicians kept the atmosphere relaxed. We rearranged the room to create informal seating for older relatives while leaving plenty of space for everyone else to mingle.
The couple kept this part of the celebration intentionally simple, giving their guests time to enjoy a drink, listen to the music and spend time together without feeling rushed from one formal moment to the next.
A Lily Vanilli wedding cake
The couple chose a white, heart-shaped wedding cake from Lily Vanilli, one of East London’s best-known bakeries.
Our team collected the cake and brought it safely to The HAC Bow, along with gluten-free cupcakes for guests with dietary requirements.
Maddie and Dylan opted for an informal cake-cutting rather than gathering everyone for a formal announcement. They could enjoy the moment naturally, have it beautifully photographed and then continue spending time with their guests.
While the couple moved into their family photographs, our team cut and served the cake so it was ready for everyone to enjoy.



Travelling across London by Underground
After the drinks reception, the celebration continued at The Culpeper.
Guests travelled across London by Underground, giving their international wedding party another opportunity to experience the city as part of the wedding.
Maddie and Dylan also chose to take the Tube, creating some wonderfully relaxed London wedding photographs along the way.
Using public transport was not simply a practical decision. It became part of the story of the day and suited the intimate, city-focused celebration they had planned.
An intimate wedding dinner at The Culpeper
At The Culpeper, guests were welcomed with drinks before moving upstairs for dinner.
The tables were set with place cards, bud vases and personal stationery. Bread and wine were ready for guests as they took their seats, allowing the evening to begin in a relaxed and generous way.
After dinner, speeches were given by both sides of the family. Maddie’s mother and sister spoke together, followed by Dylan’s parents, creating a meaningful welcome from both families.
Rather than following every traditional wedding convention, Maddie and Dylan chose the moments that mattered to them. The result was an intimate dinner that felt more like a beautiful gathering of their favourite people than a heavily structured reception.



Coordinating a destination wedding in London
Planning a destination wedding in London from another country can involve additional logistics.
The couple had to organise suppliers, venue access, deliveries, personal items and transport while living overseas. They also had limited opportunities to visit each space in person.
Our role as their London wedding coordination team was to bring everything together.
Before the wedding, we worked through the timeline, ceremony setup, supplier arrivals, venue access, guest movement and the transition between The HAC Bow and The Culpeper.
We coordinated with both venue teams, received hired items and floral deliveries, styled the ceremony space, collected the cake, prepared the drinks reception and made sure the couple’s personal details were placed correctly.
Having two Occasion Queens coordinators meant we could manage several things at once. While one coordinator supported Maddie, Dylan and their guests, the other could prepare drinks, check the setup or handle practical details behind the scenes.
The couple could arrive from Canada knowing there was a local team who understood the entire plan.
