If you’re researching wedding coordinators and wondering what you should expect to pay, you’re asking exactly the right question. It’s one of the most searched topics in wedding planning, and yet it’s surprisingly hard to find a straight answer online.
We have written you a guide and we are not giving you the standard “it depends” answer. Instead we are sharing an honest breakdown of roughly what wedding coordination costs in the UK, what affects the price, and how to work out whether it’s worth it for you.
What does a wedding coordinator actually do?
Before we get into pricing, it’s worth making sure we’re talking about the same thing. A wedding coordinator is not the same as a wedding planner. A planner helps you design and organise your wedding from scratch. A coordinator steps in to execute the wedding you’ve already planned.
We’re there on the day so you and your loved ones don’t have to be the ones managing it. If you want the full picture on what that actually looks like in practice, we wrote a whole post about it here.
How much does a wedding coordinator cost in the UK?
Wedding coordination in the UK typically falls into three brackets:
£1,000 to £1,500: stripped back or early career At this end of the market you’re likely looking at one of two things. Either a coordinator who is newer to the industry and building their experience, or a stripped back service such as a set-up only package, where someone comes in to arrange your décor and stationery but isn’t there to manage the day itself. Both have their place, but it’s worth being clear on what you’re actually getting. If something is significantly cheaper than everything else you’re quoting, there’s usually a reason.
£1,500 to £2,500: experienced coordinators and dedicated teams. This is where you’ll find coordinators with a solid track record, a clear process, and strong supplier relationships. They’re running coordination as a dedicated business, and they’ve done enough weddings to know how to handle whatever the day throws at them. Most established coordination companies sit in this bracket.
£2,500 to £3,500+: full-service coordination teams. These tend to be companies with a specialist team, in-house support, and a tried and tested process built up over years. They can handle more complex weddings, larger guest lists, and give you the reassurance that if anything comes up on the day, there’s a whole team behind it rather than one person.
What affects the price?
It’s not true that wedding coordinators make their pricing up depending on the client, there are actually various factors that could impact on the price you are quoted.
Experience. A coordinator who has done 200 weddings is going to charge more than someone doing their 5th. That experience is what means they can handle whatever the day throws at them without you ever knowing about it.
How long they’re with you. Some packages cover the ceremony and reception up to first dance. Others stay until the very end of the night. That makes a real difference to the price.
Location. London and the South East tend to sit at the higher end. Regional coordinators outside of major cities often charge less, though that gap is narrowing.
What’s included. Some quotes cover the day itself and nothing else. Others include a final planning meeting, supplier liaison beforehand, a run-through of your timeline, and ongoing support in the weeks leading up to the wedding. Always check what you’re actually getting.
What does Occasion Queens charge?
Although we can’t speak for everyone, we are big believers in being transparent about our own pricing, so here’s exactly what our wedding co-ordination package costs.
Signature Coordination Package: £1,995 (including VAT)
Our core wedding coordination package for couples who are planning their own wedding but want expert support to bring everything together. Includes a Wedding Coordination Blueprint (in-depth planing meeting), a Final Details Meeting (the full handover) and wedding day management with two experienced coordinators from the morning through to your first dance.
If you would like additional support, you can add extra services to your Signature Coordination Package, including extended wedding day coverage until the end of the evening, styling sessions, venue walkthroughs or additional planning meetings. These are ideal for couples who want more guidance, reassurance or hands-on support in specific areas.
Is it worth it?
This may be the question you are asking, but actually there’s another question to ask yourself.
The better question is: what is it worth to you to actually enjoy your wedding day?
You’ve spent months, possibly years, planning every detail. The flowers, the food, the music, the seating plan, the timeline. On the day itself, someone needs to hold all of that together. If that person isn’t a professional coordinator, it’s going to be someone you love. Your mum. Your bridesmaids. Your best friend who’s also trying to enjoy the day.
A coordinator means none of that falls on the people around you. It means that when something comes up (and something always comes up), it gets handled quietly, calmly, and without you ever knowing it happened.
Here’s how one of our couples, Bia, put it:
“We wanted to plan things our way, but needed guidance, and this is where Jess and her team entered. On the day, all we had to do was enjoy and marry each other. Honestly, hiring Jess’ services was the best investment for the day. We could not have delivered such a perfect day without her help.”
Couples often tell us that hiring a coordinator was the best money they spent on their wedding. Not because it’s the most visible thing, but because it’s what made the rest of it possible.
What should you look for when choosing a coordinator?
If you’re comparing options, here are a few things worth asking:
How many weddings have they done? Experience isn’t everything, but it matters. Someone who has coordinated hundreds of weddings has seen things go wrong and knows how to handle it.
Is it them or a team? Find out who will actually be at your wedding, and what happens if they can’t make it.
What does the day rate actually include? Make sure you are clear on timings, what’s covered beforehand, and what support you get in the run up to the day.
Can you see reviews? Real reviews from real couples are the best indicator of what it’s actually like to work with someone. We have over 135 five-star Google reviews if you’d like to take a look.
Do you actually like them? Your coordinator will be with you on one of the most important days of your life. You need to like them, so check you like their vibe.
